Working the pipeline

The Pipeline screen is a board: one column per stage, every contact as a card in the column matching its current stage. Cards are ordered by most recent activity, so the leads that need attention float to the top of each column.

The default stages

New Lead → Contacted → Follow-Up Scheduled → Negotiation → Won → Lost

Won and Lost are the two closed stages. A contact in either of those is never counted as dormant and is excluded from "open pipeline" figures in Reports.

Changing a lead's stage

Drag a card to another column, or open the contact and change its stage there. A stage change counts as activity — it updates the lead's "last activity" time, so moving a card also takes that lead off the dormant list.

Customising the stages

Settings → Pipeline stages (admin only). The stages are a plain ordered list — rename, reorder, add or remove. Keep at least one "won" and one "lost" style stage at the end; the app treats the literal names Won and Lost as closed, so if you rename those, closed-lead logic changes with them.

Existing contacts keep whatever stage name they had. If you remove a stage that contacts are still in, those contacts still appear on the board in a column for that (now unlisted) stage until you move them.

Custom fields per contact

Each contact has a free-form custom fields area (stored as key/value pairs), so a real-estate team can track "Property Value" and an agency can track "Project Scope" on the same app without a schema change. Set these on the contact detail page.
